Architectural material sample requests

Material Sample Request Software Development for US Suppliers

Updated

An architect can request two finishes for one project and receive only one sample in the first package. The supplier needs to preserve the exact selections, explain what remains pending and obtain a deliberate decision before replacing an unavailable finish. A sample request therefore needs its own records and staff workflow alongside the public product catalog.

Curiosive's Panyapı case, recorded in Türkiye, demonstrates Sanity-managed architectural product categories and variants, prerendered Next.js pages and quote-driven inquiry paths. That is relevant catalog and inquiry engineering. Sample availability, picking, dispatch, replacement approval and delivery tracking described here would be new requirements for a US supplier.

One request contains two material finishes: line A is dispatched, line B is unavailable with replacement approval pending, so the request remains partially fulfilled

Start with the physical sample journey

A public industry example helps define the task: Armstrong publishes a separate sample-ordering experience for ceiling and wall materials. Kanopi by Armstrong explains adding a sample from a product page, reviewing the physical material and using the sample's item number to return to the product. These examples establish a real sample-to-product journey; they are not Curiosive customers or integrations. For your first release, observe how staff receives a request, identifies the sample, prepares a package and resolves a missing item. Agree those responsibilities before choosing a portal or replacing an existing store.

Check whether your current store already handles the task

Begin with the current store, catalog or staff request system. Demonstrate one two-finish request through submission, partial dispatch and an unavailable-sample response. If the system already preserves the exact finish and format, shows the remaining pending line and records an approved replacement, a separate portal may add another copy of the same records. Focus custom work on the gap that staff can demonstrate: a missing line-level state, an unclear requester decision or an unsupported handoff. Agree which system remains the record owner before adding an interface. A bounded extension may be sufficient; replacing the entire store needs its own justification.

Delivered evidence: Panyapı's architectural product catalog

The published Panyapı case describes seven product categories and their variants modeled in Sanity, with Next.js prerendering more than 90 SEO pages. Product and Offer structured data and WhatsApp or inquiry contact support quote-driven sales rather than checkout. The project is recorded in Türkiye. It establishes editable architectural product information and public inquiry destinations. It does not document sample inventory, warehouse software or shipping integration. The sample workflow proposed here must be scoped and accepted separately.

Identify the finish and sample format at selection

Give each sample line an approved product reference, finish identifier and sample format. A small finish chip and a larger demonstration piece can represent the same product without being the same dispatch item. Keep catalog images and labels connected to those identifiers, and show the selected format before submission. Separate the requested number of samples from any eventual construction quantity. The supplier provides the product descriptions and rules for requesting samples; the interface implements those approved relationships.

Record the request without promising availability

Decide whether submission creates a request for staff review or a confirmed sample order. Show the distinction in the requester confirmation. Capture the approved project reference, recipient and dispatch address only where the process needs them. Preserve the submitted selection when a catalog label later changes. Define how staff can correct an address before dispatch and what happens after the package is prepared. A repeated or interrupted submission should resolve to an identifiable request rather than leave the requester uncertain about duplicates.

Make partial dispatch visible at the sample-line level

A package containing one finish should update that line while leaving another pending. Agree which staff action confirms picking or dispatch and which reference identifies the package. One request may have more than one dispatch, so retain the relationship between each package and the lines it contains. Staff entering a dispatch reference does not establish carrier-confirmed delivery. Begin with a reviewed manual dispatch workflow if it meets the first scope; a live stock feed or carrier connection needs a documented data source and separately agreed failure handling.

Ask before substituting an unavailable finish

An alternative finish is a proposal until the responsible requester accepts it. Retain the original selection and the proposed replacement, who made the decision and which pending line it concerns. Decide whether a replacement creates a new line or a revision of the earlier one. Review a discontinued finish reached through an old shared link, a declined alternative and a request withdrawn before dispatch. The software records the supplier's agreed decision process; it does not judge material suitability or establish a specification approval.

Keep public discovery connected to private fulfillment

Publish approved product descriptions and sample-format information on stable public destinations. Keep recipient addresses, project notes and staff request records behind the agreed access controls. A sample label can carry the product reference back to its catalog page without exposing the request. Review a renamed product and a retired finish so older labels have a useful destination. Public catalog indexing belongs to the website scope; shipping records should not become indexable pages. Any changes to the supplier's stock or sales systems require their own integration assessment.

Review a two-finish sample request when only one sample can ship

For a new engagement, bring approved product and finish identifiers, sample formats and the staff dispatch process. Proposed acceptance examples: each requested sample identifies its exact finish and format; one dispatched item leaves another pending; an unavailable finish requires an explicit replacement decision; and a repeated submission returns the intended request. Review an address correction before dispatch and a discontinued finish in an older selection. These are proposed sample-request checks, not claims about Panyapı's historical fulfillment, stock systems, carrier integrations or sample delivery.

Work with a US company and an Ankara-led engineering team

Curiosive LLC is a US company, with engineering led from Ankara, Türkiye. Monthly AI-accelerated development starts from $2,000, with scope, capacity and operating responsibilities confirmed in writing. Bring two finishes, their sample formats, an example partial dispatch and the people responsible for requester and staff decisions. Agree US review windows and one complete first release. Your team owns material information, fulfillment policies and physical dispatch; engineers implement the approved website, records and integrations through reviewed releases.

Questions

The things people ask before starting.

Should we replace our existing store to add sample requests?

Only if a demonstrated requirement justifies it. First test an exact finish and format, partial dispatch and a proposed replacement in the current system. If those tasks already work, keep that record owner and assess a smaller interface or handoff improvement before a separate portal or store rebuild.

How does this differ from a product catalog or quote-request website?

The catalog explains products and supports inquiries. A sample-request workflow identifies the physical finish and format requested, tracks pending and dispatched lines and records replacement decisions. A request for a sample does not confirm a construction order or a sales quote.

Has Curiosive delivered a US sample fulfillment system?

The engineering reference is Panyapı's architectural product catalog and inquiry work, recorded in Türkiye. Sample fulfillment and shipping features would be new work. Armstrong and Kanopi are public workflow examples, not Curiosive customers.

Can one sample ship while another remains pending?

That can be an agreed requirement. Model request lines separately from packages and agree which action changes each state. Review a two-finish request with one dispatched line before extending the workflow.

Do we need a carrier or warehouse integration for the first release?

Only if the agreed workflow requires one. A staff-reviewed dispatch record may satisfy the first increment. Live stock, carrier events and any payment or shipping-charge handling require an approved source, clear ownership and separate integration scope.

What should we bring to discovery?

Approved product and finish identifiers, sample formats, a representative request, dispatch responsibilities and an unavailable-sample example. Include address corrections, partial packages and the decision maker for a proposed replacement.

How it starts

What happens after you write to us.

  1. 01

    You describe the product

One paragraph on what you are building, roughly when you need it, and who it is for. No brief, no form with fifteen fields.

  2. 02

You get a reply within a day

From the engineer who would do the work, not a sales team. If we are not the right fit we say so, and where possible we point you somewhere better.

  3. 03

    You get a scoped plan

Scope, price and timeline in writing before anything is committed. You decide with the numbers in front of you.

No long contract to begin, no lock-in to our tooling, and the code is yours from the first commit.
